Office Cleaning Checklist

BACK-TO-WORK EDITION

Every year we see the same thing when taking over premises that have been closed all summer: dust settled back across every desk, dried-out traps letting drain odours through, forgotten fridges, clogged air-conditioning filters. A standard maintenance visit does not fix this — and yet that is exactly what most companies schedule for the day everyone comes back.

This is also the only point in the year when you can judge your cleaning provider under fair conditions: the premises start from a known state, and the gap between what was promised and what is actually done becomes visible within weeks. This checklist was written by our team from what we record on the ground in Paris. It is free and designed to be printed.

Looking for the full list of tasks by frequency? See our office cleaning checklist: daily, weekly, monthly and quarterly tasks, zone by zone. This page deals specifically with bringing premises back into use after a summer closure.

What should an office cleaning checklist cover for the new season?

An effective back-to-work checklist covers four areas: preparation two weeks ahead (consumables, access, flushing water points, traps, air-conditioning filters), inspection of the first cleaning visit, the six critical zones where complaints concentrate, and an audit of the current provider. It should also state the expected on-site time per floor area — the only reliable way to compare two quotes.

What the document contains

Six independent parts. Each one stands alone, in whatever order suits you.

1

Two weeks ahead: preparation

Ten items to handle before your teams return: consumables, access, flushing the pipework, traps, air-conditioning filters, the fridge, pest checks.

2

Inspecting the first visit

Eight concrete checks you can run yourself in twenty minutes after the first intervention. The zones that immediately reveal an under-resourced contract.

3

The 6 critical zones

Desks, washrooms, kitchen, meeting rooms, common areas, glazing: the minimum frequency for each and the point that is systematically missed.

4

Paris specifics

Bins and city fines, access and building-management constraints, the real cost of parking. What no generic guide covers.

5

Auditing your provider

Twelve yes-or-no questions, with a scoring grid telling you what to do based on the result. The most used part of the document.

6

Real time & reading a quote

Expected on-site time by floor area and frequency, what a serious quote must contain, and five warning signs to spot before signing.

A preview of the most useful part

Four of the twelve audit questions. Each "no" is worth 1 point; the document contains the full scoring grid.

Part 5 — Auditing your current provider Answer yes or no. Worth repeating once a year.
Does the contract list tasks zone by zone, with a frequency for each?
Is the number of hours per visit written down in black and white?
Is there a traceability sheet signed at every intervention?
Have you been given an up-to-date public liability insurance certificate this year?
The remaining eight questions, the scoring grid and what to do based on your result are in the PDF.

Who this checklist is for

  • Office managers and facilities leads taking the premises back in hand in September and wanting an objective baseline for control.

  • Owners of small and mid-sized businesses with no dedicated team, managing the cleaning provider on top of everything else.

  • Companies with doubts about their current provider who struggle to pin down exactly what is wrong — part 5 exists for precisely that.

  • Companies running a tender who are receiving several quotes and need a reliable comparison criterion beyond the headline price.

  • Medical practices, coworking spaces and retail whose footfall demands a higher standard of upkeep than a conventional office floor.

Frequently asked questions

Is the document really free?
Yes, entirely. No card details are requested and there is no paid version. We ask for your professional contact details because this document also helps us reach businesses across Paris — that is the exchange, and it is stated openly.
What do you do with my details?
We send you the download link, then occasionally content about the upkeep of professional premises. Your data is never sold or shared with third parties. You can unsubscribe in one click from any e-mail, and request deletion of your data at [email protected].
Will I be called by a salesperson?
Not without your agreement. Downloading the checklist triggers no phone call. If you want a quote, you ask for one explicitly via our quote page or by phone.
Is this checklist useful outside Paris?
Parts 1, 2, 3, 5 and 6 apply anywhere. Part 4 deals specifically with Paris constraints — waste collection, building-management rules, access — and will be less relevant elsewhere, although the principle transfers to any large city.
Are the budgets given firm prices?
No. They are orders of magnitude based on our €26 excl. VAT hourly rate multiplied by the on-site time genuinely required. They help you check that a quote you have received is coherent; they do not replace a quotation. A firm quote requires an on-site visit.
Can I circulate this document inside my company?
Yes, you can print and share it internally as much as needed. Please do not republish it online or alter it — point your contacts to this page instead.
I did not receive the e-mail, what should I do?
The download starts directly in your browser once the form is submitted, regardless. If the e-mail does not arrive, check your spam folder; if your corporate mail server blocks it, write to [email protected] and we will send it manually.
